Office Supervisor

Sandusky, OH

Responsible for supervising and coordinating activities of the medical office personnel. Work is performed in accordance with NOMS policies and procedures/applicable federal and state laws.  Effective performance requires independent action under general supervision. 

Duties and Responsibilities:

  • Complies with all HIPAA and OSHA regulations and policies.
  • Plans, directs and supervises the daily operation of the business support functions.
  • Ensure compliance with NOMS corporate policies and procedures, including deadlines for submitting time sensitive materials.
  • Develop and implement short- and long-term work plans and objectives for clerical functions.
  • Develop guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary. Ensures that office is staffed appropriately.
  • Establishes deadlines for work assignment and completion. Monitors work status and progress.
  • Identify, analyzes, and resolves work flow problems.
  • Assist in the recruiting, hiring, orientation, discipline, development, evaluation and establishment of salary/merit increases of medical office staff. Discipline procedures will be done in consultation with physicians and NOMS Human Resources.
  • Oversees the current status of patient accounts and assists Central Billing Office in identifying and resolving billing and processing problems.
  • Communicates with internal and external staff. Answers the telephone, screens calls, and directs to proper source as needed.
  • Attends required meetings and participates in committees as requested.

Knowledge and Skills Required:

  • Knowledge of computer accounting programs, spreadsheets and application.
  • Knowledge of medical terminology, coding and office procedures.
  • Skill in establishing and maintaining effective working relationships with other employees, patients, organizations, and the public.
  • Skill in developing, implementing and administering budgets.
  • Ability to process patients and public billing inquiries.
  • Ability to plan work flow and implement appropriate actions.

Education and Work Experience:

  • High school graduation or GED
  • Minimum of two years medical office experience
  • CMA/ RMA preferred, not required

Environmental/Working Conditions:

  • Work is performed in a busy office environment and requires both desk and counter work. Frequent contact with employees and outside agencies. Continual patient contact may involve dealing with angry or upset people.

Physical/Mental Demands:

  • Frequent mobility and/or sitting required for extended periods of time. Manual dexterity for using a calculator and computer keyboard. Some bending and stooping required.
